Managing USA Wrestling information for your team, barcode scanners and more

A new version of WrestlingIQ is out today that gives teams enhanced tracking of their USA Wrestling membership information, allows you to use barcode scanners with the WrestlingIQ Kiosk, and several design tweaks to make registration easier.

Collecting USA Wrestling information at wrestling time

WrestlingIQ lets you fully configure the information collected when people sign up for one of your sessions; however, USA Wrestling information has now been given detailed treatment in the registration flow that is designed to help new registrants understand why they need a USAW card, how to purchase it, and lets them enter it in a structured way so you can easily export that info for verification with USA Wrestling.

Once you have turned on the USA Wrestling info collection in settings, registrants will be presented with a screen like this:

Best of all, once your wrestlers have added their USAW information to the screen, you’ll be able to check them in with a barcode scanner at the door.

The WrestlingIQ Kiosk is designed to be placed at the front door to your facility and can be run on any phone, tablet or computer.

As of today, you can now use a barcode scanner to scan the new WrestlingIQ ID cards that get digitally sent to each registrant without needing to type anything. If USAW information is also added to the wrestlers profile, you can also scan USAW cards with the barcode scanner to check wrestlers in quickly.

Refresh of how registration works, better handling for families, and some UI updates

The registration flow has received some updates today.

  • Date of birth is now required instead of age when signing up a wrestler. Parents/wrestlers will be prompted to fill the date of birth out the next time they register for a session.
  • Basic info (academic class, weight, date of birth) is presented for verification on subsequent registrations so your data stays up to date.
  • The wrestler profile page now shows USAW information and has been redesigned for a clean new look.
  • You now pick which wrestlers will be signing up for the event you are registering for towards the beginning of the process, rather than the very end. This will cut down on extra data entry for families that had more than one child enrolled.
  • The USAW information collector is now in the registration flow (see above) if you have it setup for your team.
  • The UI has been touched up to look a little nicer and now includes the session you are registering for at the very top.
  • A recaptcha fallback challenge has been added in case the invisible bot stopper blocks you.

Online donations for wrestling teams

Nonprofit wrestling teams and organizations across the country rely on creative fundraising, session/camp revenue, and donations to continue to make a positive impact on our young wrestlers.

Most tools that help you collect donations online are expensive, have monthly fees, or are difficult to use. WrestlingIQ now comes with a free landing page for your nonprofit team or organization to collect donations online.

Two design options are available and both support recurring and one-time donors.

This new landing page can be posted on social media, link to from your existing website, or if you have a website hosted with WrestlingIQ I am happy to work with you to setup a donation page right on your team’s website.

There are no additional charges associated with this feature. The Stripe fee for processing credit cards still applies, but WrestlingIQ does not charge anything for the service, as long as you have an active WrestlingIQ subscription.

Invoices now available

The goal of WrestlingIQ is to give you the tools to keep your wrestling team organized. WrestlingIQ helps by giving teams every tool they need to run a team effectively: video review, team messaging, shared calendar, practice planning, websites, registration, payments, etc etc.

Online registrations and payments have worked well so far for club teams who use WrestlingIQ to run their sessions and camps. However, there are other payment related items that do not fall into the bucket of registration. Maybe you sell gear at practice, have fees related to missing volunteer hours, or want to collect a donation from a community sponsor.

As of a few hours ago, WrestlingIQ can now handle generic payments in the form of Invoices. Here’s what it looks like to create an invoice:

Once you create an invoice, it gets emailed to the parent in question. The email contains a link to a payment page where they can enter their card or pay via ACH. Once paid, the invoice will get updated inside WrestlingIQ, money goes straight to your bank account, and a receipt is automatically generated and sent. Invoices are now available to any team using WrestlingIQ with payments enabled.

Introducing Donation Assistant

With many club teams, it’s important to fundraise from the community. In fact, many club teams exist because of a few large private, or business, sponsors.

An often underutilized source of potential extra donations is the people who sign up and come to your practices year after year. They may not have as much money to give as the larger donors, but often they are willing to chip in a few extra dollars if they can.

As of today, I’m offering a new feature I’m calling Donation Assistant. During registration, right before your parents finish paying for their kids registration they’ll automatically be asked if they want to add a donation.

You don’t have to do anything, and clicking one of those donation amounts automatically adds it to their total. My hope is this gives your parents a time to chip in a few extra bucks, without you as a coach or admin feeling anxious making a difficult ask in person.

Scholarship codes now available

You, as a coach or admin, can now create any number of scholarship codes that apply a specific percent discount to someone registering their kid for an upcoming session.

This should be useful for handing out discounts to parents who need a financial break, or other common situations. Coaches kids, for example, often get free registration as a recognition of the volunteer time they put into the club. If you were to create a 100% off scholarship code, your coaches can now register their kids through the same process as other parents (meaning the info / signed documents stay organized in WrestlingIQ) and still get that discount so they can register for free.

A smart message group for your paid sessions

For any future session you setup in WrestlingIQ, a new smart message group will be setup so you as a coach or admin can easily message everyone registered for that session.

After you create a session, you will see the group in the messages section of WrestlingIQ. That group will automatically add parents (and wrestlers) to the group when a parent successfully registers them for that particular session.

You can still create any number of groups or direct messages, but hopefully this feature will save you a little time when you want to send a message to only parents registered for a particular session.

Introducing payment options for club team registrations (including monthly or installment plans)

I’ve been hard at work making the online payment system & registration better for club teams. In particular, I’ve heard that a lot of club teams like to include an option for parents to pay monthly over a season rather than upfront. Or you may want to have a ‘new’ member price vs a ‘returning’ member price.

WrestlingIQ can now handles all of these cases. You as a coach or admin define when and how you want to collect payment and WrestlingIQ handles the rest. If you restrict your payments to credit/debit cards, WrestlingIQ will also automatically charge your registrants on the specified day – no more manual invoicing needed.
